Although QuickBooks for Mac looks like it’s designed to offer much of the same functionality as QuickBooks for Windows, it lacks many critical features. First, QuickBooks for Mac doesn’t offer a sync manager, web connector, or QuickBooks SDK. This means you can’t connect with any third-party applications using QuickBooks for Mac. QuickBooks provides a way to run the accounting aspects of your business and create accurate reports to track your company's growth. Quickbooks for Windows and Mac require a separate installation package for each operating system. You can convert your company file to a Mac-compatible version to transfer basic transaction, customer, employee and vendor data. When it comes time for taxes, you must convert the file back to a Windows-compatible format before sending your company data to an accountant that uses the QuickBooks Accountant edition.

Converting to Mac

When you decide to go ahead with the transfer process, you need to make sure you have installed and purchased QuickBooks on your Mac computer. You can't install the Windows version on the Mac. Convert the file by clicking the 'File' menu, selecting 'Utilities' and choosing the 'Copy Company File for QuickBooks for Mac.' Email or transfer the file to your Mac computer and then open the file using QuickBooks for Mac. Once converted, check your accounts, customer, vendor and inventory lists to make sure all of your information transferred properly.

Version Information

While you can transfer a QuickBooks for Window version from a previous year to the newest version of QuickBooks for Mac, you can expect better results when transferring using the same version year on both copies. You must have at least QuickBooks for Mac 2007 or later to open a converted file. If you have an older version of QuickBooks for Mac, you should upgrade before attempting to import the Windows file. If you need to convert your file back to Windows again, you can save the Mac version of the company file as a QuickBooks for Windows format from the File menu.

Version Differences

QuickBooks for Mac differs in many ways from the Windows version. Some of your inventory may not transfer correctly or completely. For example, QuickBooks for Mac doesn't include support for units of measure or creating packages of assembly items out of individual inventory parts. The payroll service on QuickBooks for Windows also doesn't exist in the Mac version. Reports vary between the two versions of the software, since the Windows versions contains many additional default report options. The Mac version of QuickBooks also doesn't support multi-currency options.

Accountant Copies

If you decide to convert your copy of QuickBooks for Windows to the Mac version, you must convert your company file to a Windows version to send it to your accountant for tax purposes. Use a process known as Roundtrip to send the Mac version of your file to your accountant. To accomplish this, you need to save your file using the 'Copy Company File to QuickBooks for Windows' option from the File menu. Then, when the accountant finishes, they must save the changes as a QuickBooks for Mac file. Make sure to use the same version year on both your copy and the accountant's copy before attempting to send your file.

Because QuickBooks for Windows and QuickBooks for Mac use different types of databases, there is not an Accountant's Copy feature available in the Mac version of QuickBooks. For that reason, it is sometimes necessary to convert a file from the Mac version to the Windows version, and then back again.

Reference the steps below to learn how to convert a QuickBooks file. Due to differences between operating systems, converting a file from QuickBooks for Mac to QuickBooks for Windows requires some file preparation.

Preparing the File

Quickbooks For Mac 2019

  1. Copy the company file to the desktop.
  2. Check for any special characters in the file name and company name. If there are any, rename the file and remove the special characters.

    Note: Select QuickBooks > Preferences > My Company to find the company name.

  3. Open the file in QuickBooks.
  4. Delete all memorized transactions and memorized reports.
  5. Rebuild the company file (select File > Utilities > Rebuild Data).
  6. Run the Custom Transaction Detail Report, changing the date range to All and enabling the Memo column.
    1. Select Reports > Custom Transaction Detail Report (Modify Report window opens).
    2. Select All from the Dates drop-down field.
    3. Select Memo from the columns drop-down.

      Note: A checkmark appears when the column is selected.

    4. Click OK to run the report.
  7. Check for any memos with names longer than fifty (50) characters or containing special characters. If any are found, edit the transactions and remove the memos, then rebuild the file again (see step 5).

Converting the File for Windows

Quickbooks 2020 For Mac Manual

  1. Open the company file in QuickBooks for Mac.
  2. Select File > Backup to QuickBooks for Windows.
  3. Specify a file name and save location in the Save As window.

    Note: It is best to simply save this file to your desktop.

  4. Click Save and allow the backup process to run.

    Note: When complete, an instructional PDF file is offered for printing. It's a good idea to print this for the QuickBooks Windows user to refer to when restoring the file.

  5. Transfer the file (now appended with the required .QBB extension) to the Windows computer.

    Note: Intuit recommends that the file is transferred via CD or USB or FTP. E-mailing the file(s) could potentially cause unseen damage.

  6. Open QuickBooks for Windows.
  7. Select File > Open or Restore Company.
  8. In the Open or Restore Company window, select Restore a backup copy and click Next.
  9. Select Local backup and click Next (Open Backup Copy window opens).
  10. Find and select the .QBB file that came from the Mac user and click Open.
  11. Type 'yes' and then click OK when prompted to convert the file.

Converting the Same File back to QB for Mac

  1. Open the company file in QuickBooks for Windows.
  2. Select File > Utilities > Copy Company File for QuickBooks for Mac.
  3. Save the file.

    Note: It is best to simply save the file to your desktop for ease of access.

  4. Transfer the file (now appended with the .MAC.QBB extension) to the Mac computer.
  5. Open QuickBooks for Mac.
  6. Select File > Restore > From a Disk.
  7. Select the file.
  8. Click Open.
  9. Click OK when prompted to restore a QuickBooks for Windows file.
  10. Enter a name for the restored file.
  11. Click Save.
